Volunteer Hours

Service Hours is in the menu accessible from your initial in the top right.
Your service hour dashboard is in your user menu whenever you’re logged into Campuslink.

You have to have joined on Campuslink to submit volunteer hours and in the logs as an active member for me to approve them.

Go to the top right of your screen, click on your initial to open the menu, and choose Service Hours.

In the top right of the lower section is an Add Service Hours button. Click that.
(You can use the Week / Month / 3 Months / Custom to select dates to get the pending-approved-denied summary for those time frames.)

Add Service Hours will be a button in the top right.
The Add Service Hours button is in the top right of your service hours dashboard

In the top left of the form is “Organization”. Select “Engineers Without Borders (EWB)” from the list.

IMPORTANT! If you do not do this, then the hours will be submitted to another organization or the overworked Student Volunteer Center to be approved and they will probably deny them and tell you to submit them here.

Whenever you are adding service hours, assigning them to the proper organization is crucial.
Make sure all volunteer hours are assigned to the appropriate host organization!

Then fill out the fields. For description, three sentences is adequate, but we do have to have something in case we get audited. Just describe how your spent your time.
Make sure you put the date it was completed and the time spent. In general I will approve up to 4 hours for a half-day’s work with H4H. If you worked more than that, include an explanation of what you did (eg recruiting other volunteers, setting up paperwork, coordinating the event) in the description field. Hours and minutes must be entered separately.
For verification contact, put the event coordinator’s email. If you are ever unable to determine you can also use , or any officer who was present at the event.

And then hit Create! I try to get volunteer hours approved for the previous week by the next general meeting. If you ever need the hours to be posted early (eg for an application packet), let me know.

Service Hours FAQ:

“Why aren’t my hours approved?”

One of a couple reasons:

  • The description was too short, and either would fail, or has failed, an audit from the Student Volunteer Center
  • You haven’t paid dues, or at least I can’t find proof. Come talk to me and Eric Keilbarth (our treasurer) so we can rectify the situation. If financial reasons are delaying it I understand but we have to be able to claim you as an active member to vouch for your service hours except at events open to host the public.
If service hours are ever denied, you can easily see why.

  • Some other reason – In this and in all denied cases, if you go to the Denied tab you see a list of all denied service hours. Clicking the Edit button will pop up a form with your claim and at the bottom will be a comment explaining how / what to do. For example if you do service work in general or with another organization and you push it to us to approve, we will have to deny it and tell you to submit it under that other organization.
